Action Items and Notes from Aug 13 Exec Committee Meeting

Please make every effort to complete these before the September board meeting, ideally sooner:
  1. Chris B joining Bike Ed committee, stepping in for Richard as lead while he is recovering.
  2. Ken to start compiling account info and basics of the treasurer’s role in re payroll, 990 filing, Quickbooks, banking, checkwriting, 1099s, 1041s, paypal, credit card, other? 
  3. KK to consult Dave Hildebrand at Aetna.
  4. KK to forward bike ed background material to Chris B.
  5. KK to list potential major funders for next board meeting.  We debated a brainstorming session about who has connections where…
  6. KK to prioritize initial fundraising options.
  7. KK to revisit Gary’s material from branding session and take a stab at proof points.  Hoping Gary can help!
  8. KK will start organizing recordkeeping and retention items, noting responsible parties (ED vs Treasurer vs Secretary, and perhaps other), using shared file structure that matches sample recordkeeping policies.
  9. Laura and KK to meet with Chris Skelly on 8/20.
  10. Laura to consult Mass Bike about board’s fundraising role.
  11. Laura to reconvene nominating committee (Laura, MET, Ray, Sandy, Martha).  
  12. Laura will look into adopting Google Docs for Nonprofits.
  13. MET to consult Chris Montross at Aetna for possible board candidates.  
  14. We will adapt the CT Power & Energy Conflict of Interest policy and propose its adoption at Sept. board meeting.  KK will prepare.

Board Meetings
The Bike Walk CT board meets 6 times per year, on the second Wednesday of January, March, May, July, September and November. The business meeting begins at 6:30 pm.

Please add this year's remaining Board meetings to your calendar to ensure that we have a quorum at every meeting:
  • Wed. SEPT 10, 2014
  • Wed. NOV 12, 2014
  • Also for your calendar! Mon. NOV 24, 2014 - Annual Dinner.  
    Board members are asked to make every effort to attend and recruit others to attend this important (and fun!) fundraiser.
Executive Committe Meetings 
The Bike Walk CT Executive Committee meets 6 times per year, on the second Wednesday of February, April, June, August, October, and December. Executive Committee meetings start at 8 am.

  • Work toward 3-4 members each from Fairfield, New Haven, Hartford counties to reflect our population centers
  • Board members' access to networks is critical for our growth, in terms of member numbers and substantial corporate support and in-kind contributions

  • Assign committee responsibilities per everyone's expressions of interest
  • Sketch out "scope of work" for each committee so they are true working committees

  • Need to develop a strategy for engaging corporations in a full-fledged bike commuting program and get them going on becoming BFBs-examine corps for number of employees, readiness (e.g., they already have a fitness center); line of business - health insurance co's, ESPN, green business lines - UTC, GE...
